CasePix (“we,” “our,” or “us”) respects your privacy. This Privacy Policy explains how we handle information collected through the CasePix mobile application (“the App”). By using CasePix, you agree to the terms of this Privacy Policy.
CasePix is designed to protect user data and minimize data collection. We only collect the following information:
We do not collect, process, or store any sensitive personal data beyond what is explicitly entered or captured by the user.
Facilities have full control over their photos and may delete or organize them within their own Google Drive account at any time.
CasePix does not collect or analyze biometric or facial recognition data. Any photos taken using the app are captured manually by the user and stored securely in the user’s own Google Drive account. The app does not transmit, process, or share these images with any external servers or third parties. Users have complete control over their photos and can delete them at any time.
The limited information collected is used solely to:
We do not use user data for analytics, marketing, or advertising purposes.
CasePix does not sell your information, and does not share it with third parties for their own marketing or advertising. We do not use third-party advertising or analytics SDKs.
To run the service we rely on a small number of providers that process information only on our behalf: Google (Google Drive, where a practice's patient photos and records are stored in the practice's own account); Twilio (delivering one-time login codes by text message — it receives the recipient's mobile number and the message text only to deliver them); Stripe (subscription billing for practices — it receives the practice's name and billing contact, not patient information); an email delivery provider (when we send you an email); our cloud hosting provider; and, only when a practice chooses to use optional features, an AI image-processing provider (processes a prospect's photo to create a Smile Preview) and Meta (receives only the images and captions a practice chooses to publish to its own connected Facebook/Instagram account).
Since all data is stored in the facility’s own Google Drive account, retention and deletion are fully managed by the user. CasePix does not retain any copies of the data once stored in Drive.
You can:
If you uninstall the app, CasePix does not keep or recover any of your data.
SMS program. CasePix sends text messages for one purpose only: one-time login (verification) codes. We never send marketing, promotional or advertising text messages.
How you opt in. A code is sent only when you ask for it: on a CasePix log-in screen you enter your own mobile number and tap "Send Code." Beneath the phone field the screen tells you that you agree to receive a one-time login code by text, that message frequency varies, that message and data rates may apply, and that you can reply STOP to unsubscribe, with links to this Privacy Policy and our Terms & Conditions. For patients, your dental practice also records your express consent in person during enrollment, using a checkbox that is unchecked by default.
Message frequency. Only when you request a code — typically a few messages per month per user. Message and data rates may apply.
Opt out and help. Reply STOP to any message to opt out (you will get one confirmation and no further messages), or HELP for assistance. You can also contact support@casepix.online. Because a text code is how a patient signs in to the patient portal, opting out stops those codes until you reply START.
No sharing. No mobile information or SMS opt-in consent will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. We use a messaging provider (Twilio) solely to deliver each code on our behalf; it receives the recipient's number and the message text only for that purpose.
We may update this Privacy Policy periodically. Updates will be posted within the app or on our website. The “Last Updated” date will reflect the latest revision.

CasePix does not perform facial recognition or build biometric templates. Patient photos are stored in the practice's own Google Drive account. CasePix does not keep its own photo library: photos pass through our servers only to be displayed or to be processed for a feature the practice chooses to use. CasePix's servers hold the account and operational information needed to run the service (such as account details, case references, scrambled lookup values for phone numbers and email addresses, and audit logs).
